What personal data we collect and why


Personal data is all kinds of information that can be directly or indirectly attributed to a natural person who is alive. For example, name, social security number, address, email address and telephone number. It can also be, for example, booking numbers and IP numbers if they can be linked to natural persons.

Data collected to process a booking

When you book or purchase a product at Outdoor Buddies, we collect personal information from you in order to be able to fulfill your booking/purchase.

If the booking includes children, we also collect this information for the child provided that this is required to fulfill the booking. Examples of such data may include

▪ Contact information, such as address, telephone number and email address.


▪ Booking information, such as rental period, delivery information and which products you have booked.


▪ Information about your purchases, including what you bought, when and where you bought it, how you paid and payment information in cases where you pay via Swish or by invoice.


▪ Health information, such as height, weight, clothing and shoe size to be able to adjust, for example, ski rental.

Data collected during personal contact

We may collect personal data when you contact us for the purpose of managing the customer relationship between us. Primarily, we collect the personal data needed to be able to answer your question or handle your case.

Data collected from someone other than you

When booking and when contacting us for various matters, it is possible that a person provides personal data about one or more other customers in a group. We assume that the person providing the data has the consent of all individuals to provide this personal data. If you have not made a booking yourself but someone else has made a booking in which you are included, we collect personal data about you from that person. When you provide personal data about other guests, you must be sure that these guests agree to it and that you have permission to provide the data. If appropriate, you should also ensure that they understand how their personal data may be used by us.

How we use and store your data

Outdoor Buddies' legal basis for processing your personal data

Outdoor Buddies processes your personal data lawfully. It may happen that the same personal data is processed both on the basis of several legal grounds, such as the performance of the contract, based on a balancing of interests or specific consent from you, or on the basis that the data is necessary to comply with other legal obligations. This means that even if you withdraw your consent and the processing based on consent ceases, the personal data may still be necessary to save for other purposes where the personal data is still needed. In essence, we process your data to fulfill a contract to which you are a party, such as a booking.

Administration of your booking

In order to be able to deliver the services and products you have ordered from us (i.e. fulfill the contract), we use your personal data in different ways. The data is used to issue a booking confirmation and other related documents, to make a booking and to carry out the payment for the products you have ordered. Depending on what you have booked or ordered, the data is used in a corresponding way to deliver these products.

Administration of your booking also includes the use of your data for accounting, billing and auditing, credit or other verifications of payment cards and customs control (i.e. fulfilling legal obligations).

To be able to provide you with customer service

We use your personal data to be able to provide you with service if you contact us with questions, comments or e.g. complaints. We use your name and in some cases social security number to identify you and your booking. We use your contact details, such as email address and telephone number, to be able to contact you in connection with questions and matters. We do this in order to be able to fulfill the agreement with you and with the support of our legitimate interest in providing you with good service. We may also use the other personal data that we have collected about you to handle your question or matter depending on what is relevant in the individual case.

Sending information

When you have made a booking with us, we use your personal data to send you booking confirmations and in some cases important information and offers related to the product.
Development of services and service
We use the information we collect about our customers to develop and improve our products and services.
We mainly use anonymous or anonymized data at an aggregate level to perform this type of analysis. However, we may also use personal data that we have collected if relevant. We do this to fulfill our agreement with you and with the support of our legitimate interest in improving our services and our service.

Storage periods

The personal data we collect when making a booking is saved in our booking system for 1 year. When making a booking or purchase where payment is made by invoice, your personal identification number is also saved in our financial system for 1 year. For each booking or purchase you make by invoice within 1 year of your last booking or purchase, your data will be saved in our financial system for 1 year.
Email conversations are normally deleted after 1 year.
Personal data is stored as a basis for market and customer analyses, for statistical purposes and to be able to provide you with better service. Personal data is also saved so that we can comply with the legal requirements and so that there is documentation about the booking/purchase in the event of a complaint. In the event of complaints, certain information may be saved for ten years in order for us to be able to defend ourselves against legal claims.
By law, we are obliged to record and retain certain information that constitutes accounting information. We must therefore store this information for approximately seven years.
Disclosure of personal data
In order to fulfill the booking you have made with us, we may need to share your personal data with our subcontractors and partners. We only share personal data with them to the extent necessary for them to be able to provide their services to you and us, and they only have access to the personal data that is necessary.
Service providers
In order to fulfill the purposes of our processing of your personal data, we share your personal data with companies that provide services to Outdoor Buddies, e.g. to lend out booked products, handle mailings or delivery of your goods. These companies may only process your personal data in accordance with our express instructions and may not use your data for their own purposes. They are also obliged by law and agreement to protect your personal data.
Contractual partners and IT suppliers
We use a number of different IT services and IT systems in our business. In some of these, personal data is stored and processed. We are concerned about your privacy and the security of your data in all such processing. Some systems are installed locally with us and only our staff have access to the data. In these cases, there is no transfer to a third party. However, some systems are cloud solutions or installed at the supplier and mean that we transfer personal data to the supplier. In these cases, the supplier is our personal data processor and processes the data on our behalf and according to our instructions. Web analytics companies
We use external suppliers for personalization and analysis of user behavior on our websites and for user feedback. These companies process personal data as personal data processors on our behalf. The data in question is primarily data that is processed at an anonymous and aggregated level.
Agents and digital partners
When you make a booking or purchase from Outdoor Buddies through a third-party tour operator or website, you may provide personal data to the tour operator or website. This personal data is the responsibility of and handled by the respective operator in accordance with their privacy policy.
When you book through an agent, you provide your personal data to the agent and agree that the agent processes this data in its operations.The agent can therefore identify you, for example, by using your name. We are not responsible for the agent's handling of the personal data you have provided directly to the tour operator.

The individual employee can only see information that is relevant to performing their duties.
Other
If you book other travel-related services through us, such as a guide, the personal data needed to deliver the ordered service may, where applicable, be handed over to the person who will perform the service. This may, for example, include information about the name and social security number of all people on the booking, and contact information for the booker.
Transfer to third countries
Since we deliver to Sweden, Norway, Denmark and Finland, some of our partners (e.g. shipping companies) are within the EU/EEA area. This means that personal data may be transferred to partners in these countries for the same purposes as described above.
Your rights
Necessary processing of personal data and processing based on consent
Personal data processing that is necessary for us to be able to fulfill a contract with you or for us to be able to fulfill a legal obligation is permitted without consent. However, in order for us to be able to collect and process your personal data for any other purpose, you must consent to the processing.
Withdrawal of consent
You can choose to withdraw your consent at any time by contacting us using the contact details below. If you withdraw your consent, we will anonymize the personal data we have about you, and cease the processing that was covered by the consent. It may happen that the same personal data is processed both on the basis of consent and on the basis that the data is necessary or on the basis of other rules. This means that even if you withdraw your consent and the processing based on consent ceases, the personal data may still remain with us for other purposes.
